Sista Trio Retreats Terms and Conditions
*** COVID-19 UPDATED with TEMPORARY FLEXIBLE CANCELLATION TERMS *** as at September 1st 2020
These are the Terms and Conditions that will apply to your booking. Please read them carefully as you will be bound by them.
1. It is the customer’s responsibility to check the reservation and ensure that the particulars contained are correct, remembering and attending the event is the customer’s sole responsibility. Sista Trio Retreats will send reminders via email and social media posts. Due to the possibility of messages being missed, it is the customer’s sole responsibility to follow up with Sista Trio Retreats if they have not received any of these reminders prior to the event.
2. Your non-refundable deposit secures you a spot on a retreat, however, if your plans change, it is possible to transfer your deposit, incurring a $50 deposit transfer fee, providing you notify Sista Trio Retreats within 60days of the retreat, otherwise, the deposit is non-transferrable. The deposit may only be transferred one time.
3. Balance of payment is required as per the date set out in the event details. It is the customers sole responsibility to organise finances and be prepared for full payment when the date falls. Sista Trio Retreats will send 1 reminder email if payment is not made by the due date. If payment of the balance is not received thereafter, Sista Trio Retreats reserves the right to cancel the reservation and retain the deposit.
4. In the event of cancellation by the customer, regardless of the circumstances, the cancellation must be made in writing and the following refund fees, minus the deposit, apply. The deposit is non-refundable, as stated in two (2) if balance of payment has been the following refunds apply:
Cancellation 4 weeks or less before the event date, 0% refund
Cancellation 4 to 6 weeks before the event date, non-refundable deposit, 25% refund
Cancellation 6 to 8 weeks before the event date, non-refundable deposit, 50% refund
Cancellation 8 weeks or more before the event date, non-refundable deposit, 100% refund
4.a - *** Temporary COVID cancellation policy ***
For retreats scheduled from September 1, 2020, If Sista Trio Retreats reschedules due to Covid-19, your retreat, our normal cancellation policy is relaxed in order to provide you with more options.
This temporary new policy gives you the option to:
1) accept the new (rescheduled) dates offered for your retreat. Your payment will be transferred in full to the new retreat date and no further action is required on your part.
2) transfer your full retreat payment to a different retreat altogether (and waiving the retreat deposit transfer fee). Tell us which retreat you choose and we will refund or invoice you the difference in price for this new retreat.
3) put your payment on account as credit with no expiration date.
4) request a refund of your retreat payment - full refund of deposit – if paid in full – refund full amount less a small cancellation fee of $50. We work with our suppliers within each destination to minimize the amount of non-refundable costs and recover as much of your money as possible.
Before you ask for a refund: We humbly ask that you accept an offer of postponing or transferring your retreat booking rather than ask for a refund at this time. As a small business that is being heavily impacted by this global crisis, we are doing all we can to preserve our business’s viability so that will be able to serve you in the future. If we are asked to issue a large number of refunds at this time, it will severely compromise our chances of weathering this storm. Please know that a portion of your cancellation fee supports many in our supply chain, including independent running guides who rely on our trips to help support their families.
5. Due to situations beyond our control, Sista Trio Retreats reserves the right to change bookings and/or cancel the retreat and shall inform the customer as soon as possible. Alternative, replacement to the same value, arrangements will be offered or a full refund.
6. The customer shall keep all Sista Trio Retreats hired venues property fixtures, fittings, furniture and effects in a clean and good working condition and shall replace any articles which are destroyed or missing with articles of a similar kind and of equal value.
7. Sista Trio Retreats retains all copyright licence rights and sole exclusive ownership of the information, photographs and material displayed on all online mediums. The material may not be modified, copied or used in any other way.
8. Sista Trio Retreats cannot accept any responsibility for loss or damage of personal possessions or valuables, injury or illnesses of the customer during their events.
9. In the event of a customer having any complaint then he/she will notify Sista Trio Retreats at the earliest opportunity, who will take appropriate action.
10. Sista Trio Retreats shall not be liable for any failures beyond its control. This covers natural disasters, war, closure of airports, civil strife, world wide pandemics, accidents or failure to perform by third parties, including suppliers and subcontractors.
11. Full detailed disclosure is required of any food allergies, the affects and medical care required in event of exposure.
12. You must notify us in writing during the process of booking (on your registration form) of any medical conditions, pregnancy, disability or any other mental and or physical condition which may affect your participation on the retreat. This includes any symptoms of Covid-19 or our suspected exposure to the virus that causes Covid-19. You must have clearance from your doctor if you have any medical conditions before commencing any practices with Sista Trio Retreats. You must be comfortable and pain-free throughout all activities, remain within your personal limitations. If you experience pain or discomfort in any of the practices, stop and seek advice.
13. Your privacy is important to us and we are committed to ensuring that your privacy is protected. Please see our Privacy Policy below.
WAIVER STATEMENT:
I have answered the questions on the event registration form honestly and to the best of my ability.
I have carefully read through and agree with all of Sista Trio Retreat’s Terms and Conditions.
I also understand that Sista Trio Retreats – Coryn Smith, Jennie Jackson and Toni Paltridge cannot give medical advice.
I understand that at any of their events, the risk of injury, even serious or disabling, is always present and cannot be entirely eliminated. If I experience any pain or discomfort I will listen to my body and inform and seek assistance.
I know that the activities and advice carried out on the retreats are not a substitute for medical attention, examination, diagnosis, or treatment. I also know that all suggestions made by Sista Trio Retreats are just suggestions and I am responsible for doing my own research and consulting a doctor before starting any new practices.
I understand that yoga and movement are not safe under certain medical conditions and take full responsibility for making the decision to practice.
I hereby agree to irrevocably release and waive any claims that I have now or hereafter may have against Sista Trio Retreats.

On Retreat
The information we collect for retreat registration is for internal record keeping, important health and emergency contacts records collected are for your safety. We will add you to our database for future communication using the email address which you have provided. Photos and videos will be used for promotional material (without compensation to you) Please notify Sista Trio Retreats if you DO NOT want to appear on these promotional materials (in most cases we won’t clearly identify individuals, we do our best to be discreet) or if you require to review the images/videos before they are used
Changes To This Privacy Policy
This Privacy Policy is effective as of 5 June 2020 and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.
We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Your continued use of the Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.
